A buyer's checklist for botanical export documentation

The commercial, quality and regulatory documents to align before sampling, registration and international shipment of botanical products from India.

Most delays in botanical imports are documentation delays. A shipment can be perfect and still wait at the port because a certificate is missing or inconsistent. Agreeing the document set before the first sample saves weeks. Use this checklist with your supplier.

Before sampling: quality documents

  • Product specification / technical data sheet (TDS)

  • Certificate of analysis (COA) for the sample lot, with laboratory details

  • Allergen, GMO and irradiation statements

  • Pesticide-residue and heavy-metal reports

  • Material safety data sheet where relevant

  • Certificates: FSSAI, ISO 22000 / HACCP, GMP, halal, kosher or organic as required

For registration and listing

Where a product must be registered or listed before sale — for example supplements in the UAE and Saudi Arabia or listed medicines in Australia — the local importer or sponsor usually submits, supported by a manufacturer dossier. Typical contents include the formulation, manufacturing process description, stability data, GMP evidence and label artwork.

At shipment: commercial and export documents

  • Commercial invoice and packing list

  • Bill of lading or air waybill

  • Certificate of origin (and preferential origin where a trade agreement applies)

  • Phytosanitary certificate for plant material where the destination requires it

  • Health certificate or export certificate where required

  • Batch COA matching the lot numbers on the packing list

  • Fumigation certificate for wooden pallets (ISPM-15 marked pallets)

Consistency check

Product names, lot numbers, weights and HS codes must match across every document. Most port holds we see are caused by small inconsistencies rather than missing papers.
